Locked Leads is a powerful new feature in SalesRabbit+ that enables organizations to create and manage 'view only' leads across their entire sales force.
- Enhanced Territory Management: Teams can mark and identify customer locations and do-not-contact addresses that are visible to all relevant team members.
- Location-based Intelligence: Sales Reps can see nearby leads within a specific radius, regardless of lead ownership, improving field efficiency.
- Data Protection: Organizations can control what information is displayed (name only, name and address, or no detail) to maintain privacy and compliance.
TIP: Locked Leads are permission based. Please reach out to your Admin, Owner, or Manager about this permission.
Part 1: Locked Leads Permissions
Configuring Roles & Permissions for Locked Leads.
- From the SalesRabbit+ Web App, navigate to "Settings" -> then select "Roles & Permissions".
- Once in Roles, find the Locked Lead permission under the Leads section.
- Go through each Role and enable/disable the View or Manage permission.
- View Permission: allows the role the ability to view Locked Leads on Web/Mobile.
- Manage Permission: allows the role to edit leads marked with a Locked Lead status.
- Remember to select "Save" if making changes.
Part 2: Manage Locked Lead Statuses
Creating/Choosing which lead statuses will be Locked.
- From the SalesRabbit+ Web App, navigate to "Settings" -> select "Lead Statuses".
- Click "Create" in the upper left corner.
- Tip: users can edit an existing status and change it to a Locked Lead Status.
- To create a locked lead status, fill out the following information in the right hand side bar:
- Status Name: provide a status name.
- Abbreviation: provide a 4 character status abbreviation.
- Amplify Stage: select the status' Amplify stage.
- Color: choose the status color.
- Icon: select an icon to represent the status.
- At the bottom of the status creation page, there is another section called "Settings".
- Locked Leads: enabling this setting will turn your status into a Locked Lead Status.
- Leads designated with a locked status will be visible to everyone, but will not be editable without explicit permission.
- Under "Lead Details", select the lead information that viewers will be able to see from the map. Current available options include: Name & Address.
- Note: Locking a Lead will change how the status display. The lead status color will fill the selected icon rather than filling the entire status.
- Locked Leads: enabling this setting will turn your status into a Locked Lead Status.
- Don't forget to click "Save" to apply your changes.
Part 3: Locked Lead Settings
Leads marked with a locked status are only visible to users when they are located within a specified radius of the locked lead. Manage the Lock Lead Radius Settings on Lead Status Page on the Web App.
- From the Lead Status page, click on "Settings" at the top right corner.
- Under "Lead Proximity", use the dropdown to choose how close a rep must be for locked leads to appear on the map. Current options include: 1/4, 1/2, 1, 2, 3, 5, 10, and 25 miles.
- Note: this setting only applies to the mobile app, not the web.
- Click "Save" to apply your changes.
Part 4: Managing Locked Leads on Web List
Viewing and Managing Locked Leads on the SalesRabbit+ Web App leads list. All locked leads will be visible from the Web App Leads page for users with the appropriate permissions.
- Click on "SalesHub" on the left hand side -> click on "Leads".
- Next to the Search bar, select the "Filter" button.
- A Filter side bar will appear on the right side.
- Within the filters, users are able to filter leads by: Lead Status, Assigned to, Date Created/Updated, Appointment, Campaign and other custom fields.
- To filter for leads marked with a Locked Status, select the "Lead Status" filter -> select the locked status(es) you'd like to filter for -> click "Apply" in the bottom right corner.
- A list of leads that meet the set filtered criteria will appear on the Leads page.
- Here you can scroll through and edit locked leads by the filtered status(es).
- Tip: bulk actions like changing the status/deleting are available under the actions button after selection a lead(s).
Part 5: Managing Locked Leads on Web Map
Viewing and Managing Locked Leads on the SalesRabbit+ Web App map view. All locked leads will be visible from the Web App Map for users with the appropriate permissions.
- Click on "SalesHub" on the left hand side -> click on "Map".
- Next to the Search bar, select the "Filter" button -> A filter side bar will appear on the right side.
- To filter for leads marked with a Locked status, select the "Lead Status" filter -> select the locked status(es) you'd like to filter for -> click "Apply" in the bottom right corner.
- Only leads marked with the selected locked status(es) will display on the map.
- Users with the appropriate permission will be able to select a locked lead and either view or edit that lead's information.
Part 5: Locked Leads on Mobile
Viewing and Managing Locked Leads on the SalesRabbit+ Mobile App. Leads marked with a locked status are only visible to mobile app users if the user is within the defined radius set in the lock lead status settings (Part 3 of this article).
Note: whether a user can view/manage leads marked with a locked status depends on their role's permissions.
- From the SalesRabbit+ mobile app, navigate to "SalesHub" -> select the "Filter" icon in the upper left corner.
- Whether locked leads appear on the map is determined by the "Locked Leads" filter.
- Enabling this filter will display locked leads on the map, if the user is within the appropriate range.
- Keep in mind, locked leads are quickly called out with an inverted icon color scheme.
Pro Tips
- Locked leads are best used in situations where you want the canvasser to know where a Previous Client lives and can potentially name drop when knocking nearby homes. Other use cases could be a Do Not Knock, Current Customer, and Renter statuses.
- Locked Lead statuses are designated by the chosen lead status icon/color, but display as an inverted color scheme.
- Locked leads are visible from the mobile app, however, only when a user's physical location is within the limit set in settings (part 3).
- All locked leads will always be visible from the Web App.
- Locked leads do not have an assigned Owner.
