Article Overview

One of the primary ways SalesRabbit improves sales processes is by helping users collect accurate lead information. The more a sales team knows about their leads, the more effectively they can move them through the pipeline.

While SalesRabbit offers a variety of generic fields out of the box, some teams require more specific data in order to do their job effectively, which is why we offer Custom Fields.

With Custom Fields, you can create customized fields that will display on the Lead Detail page, so your team can collect the exact information that is needed to make a sale.

TIP: Custom Fields are currently available to Pro accounts or higher.



Part 1: Custom Field Permissions

This part will explain the permissions that must be enabled for a user to manage custom fields.

  • Whether a user can manage custom fields will depend on their Role's permissions.
  • To edit a role's permissions, Navigate to "Settings" -> "Roles" -> Select the role you'd like to edit in the Web App.
  • The "Custom Field" permission is found under the Leads category.
    • View Permission: selecting the view checkbox will enable a user at that role to view created custom fields on the Web App.
    • Manage Permission: selecting the manage checkbox enables a user at that role to create/edit custom fields for your account.

  • Don't forget to select "Save" if you make any changes to the role's permissions.
  • Note: these permissions only deal with actions on the Web App. All users will be able to view created custom fields on the mobile app regardless of what their roles permissions are.

Part 2: Creating a Custom Field

This part will demonstrate how to create a custom field for your account.

  • From the Web App, navigate to "Settings" -> "Custom Fields".
  • There are different types of Custom Fields that can be created.
  • To create a Custom Fields, select "Add Field" in the upper right corner.

  • A drawer will appear on the right hand side, allowing you to give the custom field a name and select what type of field you wish to create.
  • Field Type options include:
    • Short Text Field (searchable): allows for up to 255 characters in a text field. 
      • Example: Spouse name (two contacts)

    • Long Text Field (searchable): allows for up to 2500 characters in a text field.

    • Dropdown (filter-able): create a drop-down list of answers that a user can choose from (up to 100 options) Example: House Type - Apt, Townhouse, etc.
      • Select "+ Add Option" to add options to select.
      • Enable "Multi-Select" to allow your user to select more than one option. 
        • Example: Service Interest - Such as: solar, roof, siding, etc.
        • You can also choose single select.

    • Date (filterable): creates a new field to select a specific date. 
      • Example: Warranty Expiration - Day/Month/Year, or Date of Storm - Day/Month/Year

    • Date & Time (currently not filterable): creates a new field to enter in both a date and select a time.

  • Time (filter-able): Choose a singular time.
    • Example: Best Return Time: 6:30 PM

  • Number (filterable): Greater than or equal to zero.
    • Example: House square footage

  • Currency (filterable): Formatted in USD ($).
    • Example: Estimate

  • Phone (searchable): Phone Number.
    • Example: Spouses Phone Number

  • Email (searchable): Email Address.
    • Example: Spouses email

    • Note: More Field types will be added as they become available.
  • Depending on the field type you select, you'll also be presented with the following options:
    • View Only toggle: toggling this on will make the custom field visible but not editable. This option should be enabled for an API field.
      • Tip: use this toggle to create a field for information that's imported, but you don't need users to add information to.
    • Enable Filtering toggle: toggling this on allows you to filter leads by this custom field on the Mobile App and Web App.
      • Note: these options will only appear on select field types.

  • Don't forget to hit "Create" to save your custom field.

  • Saved Custom Fields will appear under the list of "Active" fields.
  • This list can be reordered by clicking and dragging the three line icon to the left of each field.
  • Users can edit or deactivate existing fields by selecting the three dots to the right of the field.
    • Deactivated fields will be found under the "Deactivated" list.

Part 3: View Custom Fields on Web

This part will cover where you find and edit created custom fields on leads in the Web App.

  • Custom Fields can be found on the Web App by viewing a lead's detail page on the Lead's List of Map.
  • Scroll to the bottom of the lead's detail page and there's a section dedicated to "Custom Fields".
  • Custom Fields can be updated from detail page.

  • Changes or updates to custom fields will be documented in the lead's "Activity" tab.

Part 4: View Custom Fields on Mobile

This part will cover where you find and edit created custom fields on leads in the Mobile App.

  • Custom Fields can be found on the mobile app if you tap in a lead's "Detail" page.
  • Scroll to the bottom of the detail page and there will be a section listed as "Custom Fields".
  • Custom Field information can be updated on this page.
    • Note: Changes to custom fields must be saved before closing out of the lead. 
    • Changes in the mobile app will sync to the web app.

  • Saved changes or updates to custom fields will be documented in the lead's "Activity" tab.

Part 5: Filter by Custom Fields on Web

This part will cover how to filter for leads by custom fields on the Web App.

  • After enabling Custom Field filtering for a specific custom field, users can filter for leads by the that custom field on the Leads and Map pages of the Web App.
  • If a custom field has filtering enabled, that field will appear as an filterable option. In the examples below, "Job Type" and "Date Custom Field" are the filterable custom fields:
    • Filter by a custom field on the Leads Page:
      • Filtering by custom field will generate a list of leads that meet the custom field's set criteria.

      • Filtering by custom field will display only leads on the map that meet the custom field's set criteria.

Part 6: Filter by Custom Fields on Mobile

This part will cover how to filter for leads by custom field on the Mobile App.

  • Filter for specific leads by custom fields by navigating to your "Filters" in the SalesHub.

  • A filter for "Custom Fields" will appear if you have any custom fields with filtering enabled.
    • In this example, "Job Type" and "Date Custom Field" are my fields that have been enabled for filtering.
  • Setting a filter for any of your custom fields will only display leads that meet the specific criteria on the Map, Street View, and Leads List in the mobile app.

  • Click "Apply" to save your filter changes.

Pro Tips

  • You can now filter by custom fields on the SalesHub Web Map.
  • You can now SEARCH custom fields on the SalesHub Leads List page.
  • Custom Fields may pass over to a different software/CRM. Check the help center or call our support team to see if an integration supports passing custom field information to your CRM.
  • Custom fields information is able to be exported.
  • Custom field information can be imported, enabling you to map columns of information on your CSV file to existing SalesRabbit custom fields.
  • Commonly created fields include:
    • Soft Credit Score
    • Current Utilities Provider
    • Roof Size/Pitch
    • Renter/Owner Status
    • Job Type
