Article Overview

This article will show how to connect your calendar to the team calendar on the mobile app. It also covers how to schedule an appointment for yourself and others. Additionally, how to navigate the team calendar on the mobile app.

Admins may want to refer to the Advanced Appointment Management - Web App Help Center Article to properly set up their appointment settings before using these mobile features.

TIP: Users can connect their calendar from the mobile app or the web app. The ability to schedule and to be scheduled for is dependent on a user's role and set permissions.

 

Part 1: Connecting Your Calendar - Mobile App



This part will demonstrate how to connect your calendar in your mobile app settings. This step must be taken in order to fully take advantage of advanced appointment management.

  • After logging into the mobile app, select the profile icon in the upper right corner to access your profile settings.

  • Under the section for Lead Appointments, select "Add Calendar".

  • Select your calendar provider.
    • Note: Only Google and Microsoft calendars are currently supported. To suggest a compatibility with another client, email us at product@salesrabbit.com.

  • Authenticate your calendar by entering the email address and password of the account you'd like to connect. You may need to verify the login credentials through 2FA.

  • After entering in your account login information, agree to SalesRabbit's privacy policy and terms of service, and select "Continue".

  • Allows SalesRabbit to edit information on your Google Calendar by selecting "Allow".

  • Once a calendar is successfully connected, the email address for the connected account will appear where "Add Calendar" used to be in the mobile app settings.
  • The link icon on the right side allows a user to "Disconnect" the email and connect using a different account.

  • You have successfully connected your calendar and it's now available for use with Advanced Appointment Scheduling!

Part 2: Setting an Appointment for Yourself



This part will walk you through how to set an appointment for yourself using advanced appointment management on the mobile app.

  • From the mobile app, navigate to "SalesHub" and select on the lead you'd like to schedule an appointment for.
  • Open that lead's information card by selecting "Details".

  • It's best practice for users to add necessary lead information (name, phone, email...) to the lead card before scheduling an appointment.
  • Navigate to the appointment section toward the bottom of lead card and select "Set Appointment" -> "For Myself".
    • Note: Selecting "For Myself" allows the user to schedule an appointment directly to the calendar that they've connected. Selecting "For Others" allows users to schedule on another user's calendar.

  • After choosing "For Myself", the user will then see a calendar view displaying times their calendar says they're available for an appointment.
  • View available time slots for each day by selecting on a specific day.
  • The default scheduled meeting length is 1hr. 
    • Users can adjust the scheduled meeting time length by selecting the time and choosing how long they'd like the appointment to be. Selecting a new time frame will load a new list of available times based on the desired meeting time length.
  • Once a meeting length, day, and time have been selected, click "Continue"

  • A page to "Confirm Details" will appear before the appointment is officially scheduled.
  • Double check that the all lead details, notes, file attachments are correct, then click "Schedule".

  • Another banner will appear confirming the appointment has been scheduled.

  • Scheduled appointments are visible on the connected calendar and the calendar found on the mobile app home page.

Part 3: Setting an Appointment for Others



This part will walk you through how to set an appointment for other reps using advanced appointment management on the mobile app.

  • From the mobile app, navigate to "SalesHub" and select on the lead you'd like to schedule an appointment for.
  • Open that lead's detail card by selecting "Details".

  • It's best practice for users to add necessary lead information (name, phone, email...) to the lead card before scheduling an appointment.
  • Navigate to the appointment section toward the bottom of lead card and select "Set Appointment" -> "For Others".
    • Note: Selecting "For Others" allows the user to schedule an appointment on another user's connected calendar. Selecting "For Myself" allows users to schedule on their own calendar.

  • After choosing "For Others", select the team that this appointment will be scheduled for. You will then be able to schedule for a user on that team.
    • If needed, you can always manage your existing teams and team assignments.

  • The user will then be able to:
    • Select a day.
    • Select an available time (based on team members availability).
    • View/Select an available closer to schedule to appointment for.
  • Click "Continue" to schedule the appointment on that closer's calendar.
    • TIP: Users can toggle between a week or month view and adjust the appointment time length.

  • Ensure the lead details are correct on the appointment confirmation page. Edit as needed.
  • Select "Schedule" to schedule the appointment on the closer's calendar.
    • Note: Once scheduled, the lead ownership will be reassigned to the closer. You may need to adjust your filters to view the lead on your SalesHub map.

  • Leads owned by another user are designated on the SalesHub map with a small circle in the bottom left corner of the lead. The circle will be colored with the Lead Owner's assigned user color.

  • You have successfully scheduled an appointment on another rep's calendar!

Part 4: Viewing Team Calendar on Mobile



This part will demonstrate how to view the Team calendar on the home screen calendar in the mobile app. Users are able to toggle between their own appointments and appointments for other users.

  • The mobile app home screen will have a calendar displaying the currently scheduled appointments.
  • Users with the view calendar permission will be able to view other team's scheduled appointments from this screen.

  • Users can toggle through their own appointments on "My Appointments" calendar.
  • A specific team calendar can also be viewed by selecting the "My Appointments" dropdown and choosing which team's appointments you'd like to view.

  • Selecting a specific team calendar to view will display all of the scheduled appointments for users on that team.
  • Select on a specific day to view the scheduled appointments for that day.

  • Users whose role has the permission to edit "Other's Leads" will be able to select on the scheduled appointments and update that lead's details or reschedule the appointment.
